Tutoring & training

The Tutoring module supervises a new staff member’s trial period: a tutor, a checklist of skills, regular reports and a final validation.

The planned duration is expressed in days.

A track can also be created automatically when a member is added to the directory, or after a successful oral interview in the Recruitment module.


This is the tutor’s view of their apprentices. For each one:

  • their progress through the checklist;
  • the date of the next report: In N days or To do as soon as possible;
  • their voice activity and session count;
  • their upcoming absences.

The Handover Checklist lists the skills, each moving from Known to Acquired. A validated item shows its date and the validator’s name.

The Write a Report button publishes a progress note on the apprentice, with a Positive, Neutral or Negative tone.

  • Validate closes the track successfully. Kotbo compares the current duration with the required duration; if the minimum time is not met, a link lets you force the validation.
  • Fail marks the track as unsuccessful.

In both cases, a Final notes field lets you leave a comment on the period.


This is the apprentice’s view:

  • their progress and their assigned tutor, with a Contact on Discord shortcut;
  • their voice activity and their absences;
  • the latest feedback published by their tutor;
  • a Logbook where they record what they learn as they go.

When nobody is in tutoring, the page shows You are not currently in a tutoring period.


  • Report interval (days): how often progress notes are expected.
  • Reminders before the deadline (days).
  • Minimum trial time (days): the duration below which validation must be forced.
  • Voice activity: shows or hides the voice statistics.
  • Absences: shows or hides absences.
  • DM notifications: automatic reminders sent to tutors.

The New Item button creates an objective:

  • Objective title: for example Using the admin console.
  • Category: Tools, Knowledge, Access, or your own.
  • Detailed description shown to both mentor and apprentice.
  • Target hierarchy and Target grade: leave on Common for the item to apply everywhere.
