Staff directory

The Directory is your server’s team sheet: who is on staff, at what grade, since when, and how active they are.

Four indicators open the page: Members on the team, configured Staff Roles, active Warnings and Active Polls.

Members tab

Adding a member

Click Add a member

The form opens.

Point at the Discord user

The field accepts a mention, a nickname or a Discord ID; the ID fills in automatically.

Pick the global grade

And, if needed, tick Create a tutoring track to start a supervised trial period right away.

Importing from Discord

The Import button adds every holder of a Discord role into a hierarchy at once, at a chosen destination grade. Kotbo then reports how many members were analysed, imported and skipped (already present).

Acting on a record

Each card shows the member, their grade, their start date on the team, their warning count and their activity (messages, minutes, sanctions).

Action	Effect
Promote / Demote	Moves the grade by one step. Kotbo warns when the minimum or maximum grade is reached.
Designate as Tutor	Adds the Tutor badge and makes the member eligible to supervise an apprentice.
Manage hierarchies	Links the member to secondary hierarchies, each with its own grade.
Suspend	Removes their Discord staff roles, but keeps their record, grade and history. Reversible at any time.
Dismiss	Removes the member from the staff.

Org Chart tab

The org chart draws the hierarchies and their leads. Each block shows the Global Staff Head, the hierarchy Heads and the role Leads.

Until a hierarchy exists, Kotbo invites you to create one and assign roles to it.

Leadership tab

This view analyses the team’s performance.

Score distribution and Activity comparison as charts.
The table shows the Progression Score, the Activity (30d / 7d) in messages per day, and the Status / Alerts.
A member whose activity collapses is flagged INACTIVITY DETECTED; the others carry the ACTIVE badge.

Permissions tab

Two settings control who sees what:

Staff Directory: access to the list of staff members.
Hierarchy & Roles: access to managing staff roles and hierarchy.

Global configuration

The Global Configuration block on the Staff Roles tab carries the team-wide settings:

Base Staff Role and Trial Staff Role.
Meeting announcement channel and Meeting voice / conference channel.
Staff announcements channel.
